Never miss a lead: AI agents on WhatsApp and phone for small businesses

22 October 2026 7 min read Netens Team

You are speaking to a customer at the counter when the phone rings. A WhatsApp enquiry arrives a minute later. By the time you finish the conversation, there are three more messages waiting.

For a small business, this is a familiar problem. The person answering enquiries may also handle sales, deliveries and day-to-day operations. Hiring another person is not always practical.

AI agents for small businesses can help by answering routine questions, collecting enquiry details and arranging the next step on WhatsApp or phone. The useful starting point is one clear job, such as handling enquiries after closing time, with a person available when the conversation needs judgement.

What does an AI agent actually do?

A basic automated reply says that someone will get back to you. An AI agent can use your approved business information to hold a conversation. With the right connections, it can also check an order, look up an appointment slot or send an enquiry to your sales team.

These are different levels of work. Answering your opening hours needs a reliable information sheet. Confirming a booking needs access to a live calendar and safeguards against duplicate reservations. An agent should only promise what its connected systems can confirm.

This is already part of mainstream business messaging. In May 2026, Meta announced Business AI for eligible small businesses in India, including answering questions, capturing leads and helping with appointments. Availability depends on eligibility. A business with simple needs should check the tools already available in its app before paying for a custom setup.

Five useful jobs for WhatsApp and phone AI agents

1. Handle calls when the team is busy

A phone agent can take an incoming call when your staff cannot answer, explain that it is an automated assistant and ask what the caller needs. It can collect a name, service requirement and suitable callback time, then pass a short note to the right person.

For example, a home repair business might collect the service type and locality before its technician calls back. The agent should explain when a callback is expected. If there is no confirmed slot, it should say so.

2. Ask the first few sales questions

Not every enquiry is ready for a quotation. A WhatsApp agent can ask which product or service the customer wants, their location and their preferred timeline. Ask only the questions your team will use.

A website agency could ask whether the customer needs a new site or changes to an existing one. A hotel could ask for arrival dates, number of guests and room preference. Keep the exchange short and allow the customer to speak to a person.

3. Answer common questions consistently

Opening hours, delivery areas, parking, service coverage and published return policies are useful starting points. These questions have answers that the business can approve and update.

Give the agent a clear rule for missing information: ask a colleague or offer a callback. It should not invent a discount, warranty or refund policy just to keep the conversation moving.

4. Share order status from the actual system

An agent connected to your order system can retrieve an update after the required identity checks. It should share only the information needed for that enquiry.

If the courier has not supplied a delivery date, the agent should not guess one. If the connection fails, it should explain the problem and create a support request. A confident but incorrect answer creates more work for everyone.

5. Help customers book an appointment

For salons, workshops and other appointment-based businesses, an agent can offer available times and record a booking. It should confirm the service, branch, date and time before submitting it.

A booking request is different from a confirmed booking. Show a confirmation only after the calendar or booking system accepts it. Changes, cancellations and special requests need equally clear handling.

What do the published case studies show?

Results can be encouraging, but check who measured them and what was included.

In its Live 360 Marketing case study, Vendasta describes lead responses taking roughly one to two days before automation and reports responses under 30 seconds afterwards. The page uses slightly different starting figures in its narrative and results table. Treat this as a vendor-reported example from US service businesses, rather than a precise benchmark for an Indian business.

For hospitality, Thunai reports a 35% increase in direct website bookings for an unnamed international hotel group using its booking assistant. The published account does not identify the client or provide an independent audit. It concerns website booking assistance, so it should not be presented as a measured WhatsApp or phone result.

Neither example is a Netens client result. Faster replies can help, but your outcome also depends on enquiry quality, accurate availability, pricing and how well your team follows up.

Keep WhatsApp permissions and handover clear

WhatsApp’s Business Messaging Policy requires permission for subsequent messages or calls and says businesses must respect opt-out requests. A phone enquiry is not a reason to add someone to every promotional campaign.

For the WhatsApp Business Platform, a business can reply without a message template within the 24-hour customer service window, which resets when the customer sends a message. Outside that window, approved templates are required. Automation must also have a clear route to further help, such as a human agent, phone number or support form.

Keep your assistant focused on your own products, services and customer tasks. Confirm the current platform terms with your provider before choosing a setup. A business support workflow and a general-purpose AI chatbot are different products.

For phone calls, tell people they are speaking to an automated assistant. If you record calls, explain this and check the notice, consent and retention requirements that apply to your business. Start with incoming enquiries rather than unsolicited calling campaigns.

What information should you prepare?

Before choosing a tool, put your approved answers in one place:

  • Services, locations, opening hours and holiday exceptions.
  • Current prices or clear rules for when a quotation is needed.
  • Booking, cancellation, delivery and refund policies.
  • Questions the agent may ask and information it must not request.
  • A named person or team for each type of handover.
  • What to do when the calendar, order system or phone service is unavailable.

Test the languages your customers actually use. A demonstration in clear English does not prove that the system will handle Hindi mixed with English, regional accents, traffic noise or local place names. Ask customers to confirm important details such as phone numbers and appointment times.

Keep access limited to what the agent needs. Use a payment link from your approved payment provider rather than asking customers for card details or OTPs. Set a retention period for chats, transcripts and recordings, and include the workflow in your privacy review. Our DPDP website checklist is a useful starting point for the website side of that work.

Run a small pilot before expanding

Choose one channel and one job. For example, start with WhatsApp questions about opening hours and service areas, or incoming phone enquiries after office hours.

Test ordinary questions, unclear questions, a request for a person and a system outage. Include wrong dates, unavailable services and customers who change their mind. Review what the agent actually says, rather than judging only how natural its voice sounds.

During the pilot, track first response time, correctly captured enquiries, completed bookings, incorrect answers and successful handovers. Compare similar periods and separate enquiries from confirmed sales. A fast acknowledgement does not mean that the customer’s problem has been solved.

What should an AI agent cost?

Ask for a quotation that separates setup, monthly support, platform charges, call minutes, AI usage and integrations. Check whether taxes, language support, call recording storage and changes to your answers are included.

Also ask who owns the phone number and customer records, how you can export them, and what happens if you stop the service. A low monthly price is less useful if basic changes need a separate project every time.

Can AI replace the person answering customers?

For a small business, a better first aim is to reduce unanswered enquiries and repetitive work. Keep people responsible for complaints, unusual requests, price exceptions and important decisions.
